Digital Dictation

Digital dictation is becoming more popular, as users realise the cost and time saving benefits to their businesses.  The object of most businesses is to lower costs and raise efficiency.  With digital dictation you can achieve both.

Digital dictation can easily be recorded direct into your pc using digital dictation software and a hand held device connected via a USB cable.  It can then be picked up by your typist for immediate transcription.  As the quality of digital recordings is much clearer, your typist can turn your work around more accurately and quickly.  Unlike tapes, it is very difficult to accidentally erase a recording and they are not easily lost or misplaced.

One of the main benefits of using digital dictation is its flexibility.  If you need to work away from the office, or in transit to and from meetings, one of your priorities may be to minimise lost productivity.  There are many portable hand held microphones on the market with excellent high quality storage capacity on which you can record and store your dictation when you are away from the office.  You can then send your work to your transcriptionist via email or FTP over a secure internet connection, and your work will be typed up for you before you get back to the office.  There are no postage or courier charges with digital dictation.

Digital dictation records as either WAV files or DSS files.  Many lower cost digital dictation software packages use WAV files, and this is an excellent cost-effective option if your secretary is on site with you.  However if you use a remote transcription service, you may prefer investing in a package which records DSS files as these are about 20 times smaller in size (without loosing any sound quality) and are much quicker to transmit over the internet.

Unlike tapes, you can instantly rewind or fast forward to any point in your dictation to review your work, edit, insert or erase without affecting the remainder of the recording.  Many digital dictation software packages come with enhanced interfaces which allow you to organise and prioritise your dictations, making it easier to identify potential bottlenecks and re-allocate work to other typists where necessary.

Digital dictation is also voice recognition compatible.  This means, that you can combine your digital dictation with a voice recognition software program that can transcribe your work for you, just leaving your typist to review and format your work, significantly reducing your document turn around time and leading to greater cost efficiencies.
